A condition report is useful only when someone can identify the exact item, understand when the observation was made, and match each note to a clear image. A fast phone workflow can improve the handoff, but it needs a repeatable capture order.

Identify the item first

Use the project title and notes for the customer or job reference, rental period, asset number, make/model, and serial number where available. Photograph the identifying plate as part of the record. Do not include sensitive customer information that the handoff does not require.

Use the same walk-around every time

  1. Overall front, rear, left, and right views.
  2. Hour meter, odometer, fuel or charge level where relevant.
  3. Attachments, accessories, keys, cables, and supplied items.
  4. Close photos of existing scratches, dents, leaks, missing parts, or warning indicators.
  5. A short caption that says exactly where the condition appears.
Consistency matters more than photo volume.Six predictable angles with useful captions are easier to compare than thirty unsorted images.

Keep pickup and return states together

Create a finding for each existing exception at pickup. On return, attach the corresponding after image to that finding when the same area needs comparison. Add a new finding for a newly observed condition instead of forcing it into an unrelated photo pair.

Preview the handoff report

Check that identifying details are readable, the photo order makes sense, and every exception has a location and neutral description. Export the PDF only after that review. Keep an editable backup if the project must be transferred or retained outside the app.

A photo report does not determine cause, value, liability, safety, or mechanical fitness. ProofList does not collect signatures, inspect machinery, read telematics, or replace rental agreements and required safety checks. Use qualified inspection and the operator's approved process when those decisions matter.
